This Privacy Policy explains how Knowledge Base Software processes information when you visit knowledge-base.software, use the site search, submit the contact form, or otherwise interact with this website. It describes our current practices; it is not a request for consent and does not create consent merely because you use the site.

Who we are and the scope of this policy

Knowledge Base Software is the operator of knowledge-base.software and is responsible for the processing described in this policy. The site is an independent editorial resource about knowledge base software; it does not develop or sell its own knowledge base product.

This policy applies to this domain and the services operated through it. It does not govern a third-party website, software vendor, or service that you visit through an external link.

Information we process

Information you send through the contact form

If you use our contact form, we process your name, email address, subject, and any message you choose to provide. We use these details to read, route, and respond to your inquiry and, where necessary, to maintain a record of the correspondence.

The form is powered by Contact Form 7. In the site’s current configuration, submissions are sent to our designated mailbox and are not stored in WordPress by a form-submission database add-on. Our email and hosting providers may process the message as needed to transmit and deliver it. Please do not submit passwords, payment-card information, health information, government identifiers, or other sensitive information through the form.

Search queries

If you use the site search, the words you enter are sent to our server as part of the requested URL so we can return relevant pages. A search request may also appear in operational or security logs. Cloudflare states that its Web Analytics service does not log query strings.

Request, security, and diagnostic data

When you request a page, our hosting and security infrastructure, including Cloudflare, may process technical data such as your IP address, the requested URL, date and time, browser or user-agent information, referrer, response status, traffic-routing data, error information, and security events. The exact fields available to us depend on the service and configuration.

We use this information to deliver the website, route traffic, prevent abuse, investigate errors, maintain availability, and protect the site and its visitors.

Cloudflare may also ask supported browsers to send Network Error Logging reports when a network request fails. A report can contain the requested URL, request method, referrer, protocol, and error category. Cloudflare states that the visitor’s IP address is not stored in its Network Error Logging pipeline after the request ends.

Comments and attempted submissions

The current public site does not display a commenting interface. WordPress may nevertheless receive attempted comment or spam submissions through its comment endpoints. Such a submission can include the supplied name, email address, website, comment text, IP address, user-agent information, and submission time. We use that information only for moderation, spam prevention, security, and record integrity, and we may delete rejected or abusive submissions.

If we display comments in the future, we will explain what becomes public and any related avatar or cookie processing before relying on that feature.

Author profile images

Author archive pages may request profile images from Gravatar, a service operated by Automattic. When a Gravatar image loads, Automattic receives ordinary request information such as the visitor’s IP address, browser or user-agent information, referrer, and time of access. Gravatar’s processing is governed by the Automattic Privacy Notice.

Cloudflare Web Analytics

We use Cloudflare Web Analytics to understand aggregate page traffic and website performance. Its beacon processes limited page-view, referrer, and page-performance information. Cloudflare states that Web Analytics does not collect or use visitors’ personal data, does not use cookies or local storage for analytics, does not fingerprint visitors, and does not track individuals across customer websites.

Cloudflare’s current documentation says unsampled beacon data is kept for seven days before it is aggregated. Provider-side availability and retention of aggregate reports follow Cloudflare’s service documentation and our account settings. This analytics processing is separate from the request and security data Cloudflare may process while delivering and protecting the site.

Legal-basis terminology applies where laws such as the GDPR or UK GDPR require it. We do not use personal information for solely automated decisions that produce legal or similarly significant effects. Automated security systems may block or challenge requests that appear abusive or malicious.

Cookies, local storage, and current tracking status

Cloudflare Web Analytics does not use analytics cookies or local storage. On ordinary anonymous page loads tested for this policy, the site did not return a cookie in the initial response. Cookies may still be used in limited circumstances:

• Security cookies: Cloudflare may set strictly necessary cookies when a security, bot-management, or challenge feature requires them. See Cloudflare’s cookie documentation.
• Administrative cookies: WordPress sets authentication and preference cookies for authorized users who sign in to administer the site.
• Comment preference cookies: If a public comment form is enabled later, WordPress may offer an optional checkbox that saves a commenter’s name, email address, and website in first-party cookies for future comments.

As of the date above, public pages do not load Google Analytics, Google AdSense, or Microsoft Clarity, and we do not set advertising or affiliate-tracking cookies on this website. If we introduce a non-essential analytics or advertising technology, we will update this policy and provide consent controls before activation where applicable law requires them.

You can also delete or block cookies through your browser settings. Blocking strictly necessary cookies may affect authentication or security checks.

Advertising and affiliate links

The site may use clearly identified display advertising or affiliate links as a source of funding. At the date of this policy, we do not load Google AdSense or another personalized-advertising tag on public pages, and we do not set affiliate-tracking cookies on this domain.

If a link is monetized, we will disclose that relationship on or near the relevant content where required. When you follow an external link, the destination website may receive standard request information and may use its own cookies or referral identifiers under its own privacy policy. We do not receive your payment-card details from a software vendor merely because you follow a link from this site.

How we disclose information

We disclose information only as reasonably necessary for the purposes described in this policy, including to:

• Cloudflare and our hosting, infrastructure, email, and security providers that help us deliver and protect the site;
• professional advisers, auditors, insurers, or service providers where access is necessary and appropriately restricted;
• courts, regulators, law-enforcement bodies, or other parties when required by law or reasonably necessary to protect rights, safety, or service integrity; and
• a successor or prospective successor in connection with a merger, reorganization, financing, or transfer of the website, subject to appropriate confidentiality and legal safeguards.

We do not sell or rent personal information. Based on the site’s current configuration, we do not share personal information for cross-context behavioral advertising or targeted advertising.

International processing

Our service providers may process information in countries other than the country where you live. Data-protection laws can differ between countries. Where applicable law requires safeguards for an international transfer, we rely on the provider’s contractual and technical safeguards or another lawful transfer mechanism.

How long we keep information

We retain personal information only for as long as reasonably necessary for the purpose for which it was collected, including responding to inquiries, maintaining appropriate business and security records, resolving disputes, and meeting legal obligations. We then delete or anonymize it where reasonably practicable, subject to lawful exceptions and limited backup cycles.

• Contact messages: kept in our mailbox and related systems for as long as needed to handle the inquiry and maintain any necessary correspondence or legal record.
• Request and security logs: retained according to operational need, service configuration, security requirements, and provider schedules.
• Cloudflare Web Analytics: unsampled beacon data is retained by Cloudflare for seven days before aggregation according to its current documentation; aggregate report availability follows Cloudflare’s service and our settings.
• Rejected comments and spam: reviewed or removed according to moderation, security, and system-maintenance needs.

Your privacy rights

Depending on your location and subject to applicable law, you may have rights to:

• request access to personal information we hold about you;
• ask us to correct inaccurate or incomplete information;
• request deletion of your information;
• restrict or object to certain processing;
• receive certain information in a portable format;
• withdraw consent where processing relies on consent;
• opt out of sale, sharing, or targeted advertising where those rights and activities apply; and
• complain to a data-protection or privacy authority.

These rights are not absolute. We may need to verify your identity, clarify the scope of a request, or retain information when the law permits or requires it. We will respond within the period required by applicable law and will not discriminate against you for exercising an applicable privacy right.

Children’s privacy

This website is intended for a professional and general adult audience and is not directed to children. We do not knowingly solicit personal information from children.
