Knowledge Base Software Pricing: Models, Costs, and Total Cost of Ownership
Knowledge base software pricing can look simple until you compare what each vendor counts. One product charges for every employee, another charges only for authors, and a third bundles its knowledge base into a help desk priced per support agent. AI answers, additional workspaces, private readers, languages, SSO, storage, migration, and implementation can all change the final cost.
This guide explains the main pricing models, shows examples checked against official vendor pages, and provides a practical method for calculating total cost of ownership. If you are comparing products as well as prices, start with our knowledge base software guide.

Knowledge base software pricing: the short answer
Most knowledge base products use one or more of these pricing models:
- Per user: every employee or workspace member requires a paid seat.
- Per agent: support agents are billed as part of a help desk or customer-service suite.
- Per author: writers and administrators are paid, while readers may be unlimited.
- Flat subscription: one price covers a defined package, subject to limits and add-ons.
- Tiered pricing: higher plans unlock governance, analytics, languages, security, or larger limits.
- Usage based: AI answers, resolutions, API calls, translations, or sessions are metered.
- Custom quote: the vendor prices a configuration after reviewing seats, workspaces, security, AI, and service requirements.
- Self-hosted: the license may be free or fixed-price, but the buyer pays for infrastructure and maintenance.
The correct comparison is not “Which product has the lowest starting price?” It is “What will our required configuration cost over one to three years?”
Important Freshdesk pricing clarification
Freshdesk’s public pricing page lists paid Growth, Pro, and Enterprise plans, but its official support documentation also confirms a separate six-month Free Program. The two sources describe different parts of the buying process and should not be treated as contradictory.
- New accounts begin with a 14-day trial.
- After or during evaluation, an account administrator may see an option to switch to the Free Program under Admin → Plans and Billing → Switch plan.
- The program is limited to Freshdesk. It is not available for Freshdesk Omni.
- It lasts for six months and supports no more than two agents.
- It includes ticketing, a customer knowledge base, reports, and other limited capabilities.
- More than two agents or continued use beyond six months requires a paid plan.
- Moving from a higher plan or trial to the Free Program can remove features and configurations that are not supported by the free program.
This is a temporary evaluation program, not a permanent free plan and not a nonprofit-specific grant. Availability should be confirmed inside the account. See Freshdesk’s official Free Program documentation.
Main knowledge base pricing models
| Pricing model | How it works | Usually suitable for | Main risk |
|---|---|---|---|
| Per user | Each workspace member is billed. | Internal knowledge bases with a defined employee population. | Read-only access can become expensive at scale. |
| Per agent | Each support agent has a paid seat. | Teams that need ticketing and a help center together. | You may pay for a complete support suite when you mainly need documentation. |
| Per author | Writers, reviewers, or administrators are billed. | Public documentation with many readers and few writers. | Governance may require more author seats than initially planned. |
| Flat subscription | A fixed fee includes a defined package. | Teams seeking predictable monthly expenditure. | Users, sites, storage, languages, or AI may still have limits. |
| Tiered | Capabilities and limits change by plan. | Organizations that can begin small and upgrade later. | A single required feature may force an expensive plan upgrade. |
| Usage based | Charges follow AI resolutions, sessions, API calls, or another measurable unit. | Organizations with variable usage. | Bills become difficult to forecast without usage caps. |
| Custom quote | The vendor builds a price around the requested configuration. | Enterprise, regulated, multilingual, or multi-brand deployments. | Starting cost and future renewal increases are less transparent. |
| Self-hosted | The buyer runs an open-source or licensed platform. | Teams requiring hosting control or extensive customization. | Infrastructure, security, updates, backups, and administration remain internal costs. |
What determines the final price?
Who needs a paid account?
Separate content authors, support agents, administrators, reviewers, employees, partners, authenticated readers, and anonymous visitors. A product that includes unlimited public readers may still charge for every private employee or editor.
How many knowledge bases are required?
One company may need separate sites for products, brands, regions, customers, partners, or internal departments. Check whether the subscription includes one knowledge base, multiple sites, or only one workspace with additional sites sold separately.
Which features are mandatory?
Do not compare plans before defining mandatory requirements. Common cost-changing features include SAML SSO, SCIM provisioning, audit logs, approval workflows, custom roles, data residency, multilingual publishing, multiple help centers, custom domains, advanced analytics, API access, sandbox environments, and priority support.
How is AI billed?
AI may be included in a plan, limited by credits, sold per agent, or billed per answer, session, or resolution. Ask what counts as a billable event, whether unsuccessful answers are charged, what usage is included, and what happens when a limit is reached.
Verified knowledge base pricing examples
The following snapshot is designed to illustrate different pricing structures. It is not a ranking of the products.
| Vendor | Public pricing snapshot | Model and buying note |
|---|---|---|
| KnowledgeBase | $59/month or $49/month with annual billing. One knowledge base, unlimited seats and articles; additional knowledge bases cost extra. | Flat subscription. The public page also lists a 14-day trial. Official pricing |
| KnowledgeOwl | Starts at $100/month. | Author-oriented dedicated knowledge base with unlimited reader access, according to its pricing page. Verify included authors, sites, and AI allowances for the selected configuration. Official pricing |
| Helpjuice | Knowledge Base $249/month; AI-Knowledge Base $449/month; Unlimited AI-Knowledge Base $799/month. | Flat tiers with different user and storage allowances. A 14-day trial is advertised. Official pricing |
| Document360 | Custom quote rather than a public flat price. | The vendor says price depends on team accounts, workspaces, languages, SSO and security, privacy model, and AI Premium Suite usage. A 14-day trial is available. Official pricing |
| Help Scout | Free plan; Standard $25, Plus $45, and Pro $75 per user/month as displayed on the pricing page. | Help desk pricing that includes knowledge-base capabilities. The Free plan lists five users, one inbox, and one Docs site. Verify the selected billing frequency and plan limits before checkout. Official pricing |
| Freshdesk | Growth $19, Pro $55, and Enterprise $89 per agent/month, billed annually. | Per-agent help desk pricing. The Growth plan includes a customer portal and knowledge base. A separate temporary Free Program may be available for Freshdesk accounts for six months and up to two agents. Official paid pricing |
| Zendesk | Suite Team $55 and Suite Professional $115 per agent/month, paid yearly. | Zendesk’s $19 Support Team plan does not list a knowledge base. Knowledge Base begins in the public package comparison with Suite Team. Official pricing |
Prices alone do not show which plan contains every required feature. Use vendor comparison tables, written quotes, and a controlled trial before making a contractual decision.
How to calculate total cost of ownership
Use this formula:
Annual TCO = base subscription + paid seats + usage charges + add-ons + implementation + migration + training + internal administration + infrastructure − confirmed discounts.
Calculate the first year and a normalized renewal year separately. Migration and implementation may be one-time costs, while seats, AI usage, and support recur.
Example: ten-agent support team
Using publicly listed annual-billing rates and excluding taxes and add-ons:
- Freshdesk Growth: 10 × $19 × 12 = $2,280 per year.
- Zendesk Suite Team: 10 × $55 × 12 = $6,600 per year.
This does not prove that the lower total is the better choice. The products have different feature sets, workflows, integrations, and limits. It only demonstrates why agent count is central to the calculation.
Example: custom-quote platform
For a quote-based product, request a written three-year estimate with the same assumptions from every vendor:
- 10 authors and five reviewers.
- Two public knowledge bases and one private workspace.
- Three languages.
- SAML SSO and audit logs.
- Expected AI-answer volume.
- Migration of 2,000 articles.
- Required implementation and support level.
- Expected seat growth at the first and second renewals.
Without identical assumptions, custom quotes are not comparable.
Hidden and secondary costs
| Cost | Question to ask |
|---|---|
| Additional authors or agents | Which roles consume a paid seat, and is there a minimum seat commitment? |
| Authenticated readers | Are employees, partners, or customers billed for private access? |
| AI usage | What is included, what event is billable, and what is the overage price? |
| Additional sites | How many knowledge bases, brands, or workspaces are included? |
| Languages | Are translated versions included, paid per language, or generated through metered AI? |
| SSO and provisioning | Do SAML, SCIM, audit logs, and custom roles require a higher plan? |
| Storage | What are the total storage, file-size, and media limits? |
| Migration | Is migration included, assisted, or charged as professional services? |
| Implementation | Does setup include information architecture, branding, permissions, integrations, and training? |
| Support | Are onboarding, priority response, a customer-success manager, or an SLA extra? |
| Renewal | Is the discount permanent, temporary, or subject to verification and new list prices? |
| Exit | Can articles, files, metadata, redirects, and version history be exported in usable formats? |
Choosing the right pricing model
Public help center with few writers
Prioritize flat or author-based pricing with unlimited anonymous readers. Check the cost of extra knowledge bases, multilingual publishing, custom domains, analytics, and AI answers.
Support team that already needs ticketing
Per-agent help desk pricing may be efficient when the same team needs tickets, automation, reporting, and self-service. Compare the complete suite cost, not the knowledge-base feature in isolation.
Internal employee knowledge base
Check whether every employee needs a paid member seat. Reader-only roles, guests, directory synchronization, SSO, and permissions can matter more than the editor.
Enterprise or regulated deployment
Request custom quotes that explicitly include security, data residency, audit logs, implementation, support, contract term, renewal rules, and export assistance. Review our knowledge base security and compliance guide before finalizing requirements.
Very limited budget
Compare temporary programs, permanent free plans, and open-source knowledge base software separately. A temporary trial or six-month program should not be presented as a permanent free plan.
Pricing due-diligence checklist
- Define every user role and expected seat count.
- List mandatory features before viewing plan names.
- Estimate article, file, workspace, and language growth.
- Forecast AI usage under low, expected, and high-volume scenarios.
- Request a written breakdown of recurring and one-time costs.
- Confirm taxes, currency, billing term, minimum commitment, and cancellation rules.
- Ask how discounts work at renewal.
- Test the required plan rather than a trial that temporarily exposes higher-tier features.
- Export sample content before signing a long contract.
- Calculate first-year, renewal-year, and three-year TCO.
Frequently asked questions
How much does knowledge base software cost?
Costs range from free and open-source options to custom enterprise contracts. The relevant number is the cost of the plan that includes your required seats, security, governance, languages, sites, analytics, AI usage, migration, and support.
Is Freshdesk free?
Freshdesk documents a six-month Free Program for Freshdesk accounts with up to two agents. It is not available for Freshdesk Omni and is not a permanent free plan. Users must upgrade after six months or when they require more than two agents.
Are public knowledge base readers normally charged?
Many hosted public help centers allow anonymous readers without per-reader fees, but this is not universal. Private or authenticated readers may be billed differently. Verify the rule for the exact plan.
Is self-hosted knowledge base software cheaper?
It can reduce license costs, but hosting, backups, security, upgrades, monitoring, customization, and administrator time must be included. Self-hosted software is not automatically the lowest-cost option.
How should AI costs be compared?
Compare the billable unit, included allowance, overage rate, usage reporting, spending controls, and behavior when the allowance is exhausted. “AI included” does not necessarily mean unlimited AI usage.
Final recommendation
Choose pricing only after defining the required configuration. Normalize every quote to the same users, knowledge bases, languages, security controls, AI volume, migration, and support period. Then compare total cost over three years rather than the advertised entry price.
