Scope and currency

Set one common horizon and currency so every option is compared on the same basis. The calculator does not convert currencies or add taxes.

An option can be a vendor quote, a plan, self-hosting, or the current system.
Annual charges are counted as full contract years; there is no proration.
Use the same currency for every input. No exchange-rate conversion is performed.
How precise are the inputs?
Use net quoted prices. Taxes, currency conversion, financing, benefits, ROI, and payback are outside this calculator. Enter explicit discounts or credits in the net amounts rather than as hidden assumptions.

What this TCO calculator includes

The framework uses the values you enter and separates cash charges from internal labor. Its rules-based calculation engine (version 1.0) was reviewed and functionally tested on August 3, 2026.

Recurring software

Platform fees, paid seats, additional sites, add-ons, premium support, AI or usage, hosting, and other recurring charges.

Launch costs

Implementation, migration, integrations, content cleanup, training, reviews, and an explicitly entered contingency amount.

Internal operations

Administration, content governance, technical maintenance, loaded labor rates, workload growth, and other internal costs.

Exit and overlap

Export or transition services, parallel-run months, and other end-of-horizon costs entered in final-year money.

Calculation and rounding method

The engine calculates every option on the same horizon. It keeps low and high estimates separate and never converts an unknown cost to zero.

Annual projection

  • Monthly flat charge = amount x 12.
  • Seat charge = projected paid seats x monthly unit rate x 12.
  • Recurring prices, seat counts, usage charges, workload hours, and labor rates compound once at the start of each later year only when you provide or confirm their growth rate.
  • One-time costs appear in year 1. Exit and overlap costs appear in the final year.
  • Each line is rounded to two decimal places before category and year totals are added.

Unknown-cost rule

If a cost area is Unknown, it is omitted and reported beside the result. If a later-year growth rate is Unknown, the affected later-year cost is omitted rather than carried forward at 0% growth.

A complete result is labeled modeled TCO. An incomplete result is labeled known subtotal.

Limitations: This is a planning model, not accounting, tax, procurement, legal, or investment advice. It excludes currency conversion, taxes, financing, the time value of money, savings, benefits, and vendor-plan eligibility. It compounds a starting AI or usage charge by a percentage; it does not reprice vendor-specific tiers or block thresholds. Verify every feature, entitlement, usage limit, projected-year charge, renewal term, and exit obligation in the exact proposed plan.

Knowledge base costs commonly missing from a quote

A vendor quote may be accurate and still omit work performed by your team or charges triggered by the required configuration.

Plan gates

SSO, audit logs, private content, multiple brands, localization, APIs, analytics, and AI may require a different plan or add-on.

Content work

Inventory, cleanup, rewriting, redirects, metadata, accessibility remediation, translation, review, and ownership consume time.

Operating labor

Administration, permissions, search tuning, analytics review, governance, integration maintenance, and corrections continue after launch.

Leaving later

Export limits, media recovery, URL preservation, contract overlap, retraining, and migration-out services can affect the final year.

Knowledge base software TCO questions

What is knowledge base software total cost of ownership?

Total cost of ownership combines the subscription or infrastructure cost with implementation, migration, add-ons, internal labor, ongoing operations, growth, and exit costs over a defined period.

Why does the calculator distinguish Unknown from zero?

Zero is a confirmed amount. Unknown means the cost has not been established. Treating unknown migration, labor, or renewal costs as zero can make one option appear artificially cheaper.

Should advertised starting prices be entered?

Use the net price for the exact plan and configuration that meets the mandatory requirements. Starting prices may exclude required seats, sites, identity controls, AI usage, support, or implementation.

Does the lowest TCO identify the best knowledge base software?

No. The lowest modeled cost is only a financial comparison. A lower-cost option can still fail a mandatory requirement or create unacceptable implementation, security, accessibility, governance, or exit risk.

Does this calculator estimate ROI?

Are the values sent to the website?
